Where To Focus
Quick Updates
URL Map
Which pages are new, which replace something that already exists, and where a redirect has to be in place before launch so students and search engines do not hit a dead end.
Components
Your live page components. Edit the content fields, generate fresh code, and paste it into Sitefinity. The code carries all brand and accessibility standards automatically.
Widgets And Templates
Ready-made components from the BrAInWav library. Each installs into your Sitefinity as a paste-in block and becomes editable in your Components tab.
Projects
Track milestones and deadlines, review preview links, and see exactly where each engagement stands.
Quick Updates
Edit your page content in plain fields. The preview updates instantly, and publishing pushes straight to your live embed. No code, no waiting.
Live preview renders exactly what your visitors will see, in your campus styling.
Questions From BrAInWav
While reviewing your pages we ran into things only your team can settle. Short answers are perfect; they go straight into the rewrite.
Feedback
Comment directly on any page or preview. Nothing gets lost in email.

Content Quality Dashboard
Everywhere your website disagrees with itself, shows the wrong year, or has gone stale, with the live language quoted.
Findings
Link Checker
Every link on your scanned pages checked automatically, with dead links and outdated redirects flagged.
Issues
Pages
Every page in your engagement, its build status, and its Sitefinity preview. Pages marked Ready For Review are waiting on your approval; approved pages are published by BrAInWav.
Add Pages
Global Issues
Problems that repeat across many pages, almost always from a shared template. Each is listed once and fixed once, rather than page by page.
Critical Fixes
The short list. Findings across every report that are wrong rather than merely improvable: content that contradicts current federal guidance, accessibility barriers that block a student outright, and links that go nowhere.
Global Issues
Problems that appear across many pages, almost always from a shared template: navigation, the footer, a boilerplate block. Each is listed once and fixed once in the template rather than page by page.
Overdue For Review
Every page we can date, oldest first. A page with nothing wrong on it that has not changed in years is not necessarily healthy, it is unexamined.
What lands here is deliberately narrow: outdated federal terminology, requirements that no longer exist, critical and serious accessibility failures, and broken links. Everything else is real work but not an emergency, and lives in its own report.
Run Scans
Everything that reads the site, in one place. Deterministic scans cost nothing and can run as often as you like. The ones marked with a cost use a model and should be run deliberately.
Page Dates From The CMS
Your CMS records when every page was last edited. The public site does not publish it, so no scan can find it. Paste the page list once and changes we observe afterwards keep each page current.
Run Everything That Is Free
Starts all seven deterministic scans in sequence: compliance, engagement, links, link usage, accessibility, redirects and AI readiness. No model calls, so nothing here costs money. It takes a few minutes on a large site and you can leave the page while it runs.
Free To Run
Arithmetic and pattern matching only. No model calls, no cost per page.
Costs Money Per Run
These call a model for every page or question. Run them when something has changed, not on a habit.
Recent Runs
District Rollup
Multi-college systems in one place. Every figure stays attributed to the college it came from, because a district total tells you the size of the problem and the college row tells you where it is.
Where To Look First
Ranked by open findings across content, accessibility, and links.
College By College
Manage Districts
Add A District
Assign Colleges
A college can belong to one district, or none. Removing a district never deletes its colleges.
Pipeline
Who has used the public checker and who has asked for a conversation. This is BrAInWav's own record, not a college's, so it does not follow the Working On selector.
Demo Requests
Institutions
Grouped by institution rather than by run, because five checks from one school is one prospect.
Checker Use, Last 30 Days
Engagement
Discoverable asks whether a machine can read the page. Engagement asks whether a person will. A page can be perfectly crawlable and still be a wall of text nobody finishes.
Findings
Every measure here is arithmetic on the page: reading level, sentence length, paragraph length, heading density, and how much of the answer lives in a document instead of on the page. Whether the writing is any good is a human judgement, and we do not pretend to score it.
Link Usage
Find every page that points at an address, before the address changes. Pages you are responsible for are separated from pages belonging to other offices, so you know what to fix and what to hand over.
Build The Map
The map is a snapshot of who links to what. Rebuild it after pages move, and before you send a redirect list to anyone.
Where Is This Link Used?
Paste one address per line. Full addresses or just paths both work, so /financial-aid/loans matches as well as the full address. Matching ignores www, http versus https, trailing slashes, and tracking parameters.
Most Linked-To Addresses
Where a redirect mistake would do the most damage.
Accessibility Report
Automated WCAG 2.1 AA checks on every scanned page, aligned with the DOJ Title II web rule.
Findings
AI Answers Audit
What AI assistants tell students who ask about your campus, graded for accuracy and traced to the page that caused it.
Regulation Corner
BrAInWav monitors NASFAA, StudentAid.gov, FSA Partner Connect, Dear Colleague Letters, FERPA guidance, and residency rules, and cross-checks each change against what your website actually says.
Progress
How your website is improving over time: pages reviewed and updated, issues resolved, accessibility cleared, and how accurately AI assistants answer questions about your campus.
AI Readiness
Whether AI systems are allowed to read your site, whether they can actually read it once they arrive, and whether your pages are built to be quoted correctly. Measured entirely from your public site, with nothing installed.
Findability
The handful of fields an assistant reads before it decides whether your page answers the question: the title, the description, the heading that names the subject, and any structured data. Read from pages already captured by a scan, so nothing is fetched again.
Shadow Sites
Other copies of this site that answer the public internet: development and staging hosts, and section roots left serving pages after a move. A copy on your own domain reads as official to a student and to a search engine, and when it is older than the page you maintain, it answers questions you have already answered differently. Only addresses that actually replied are listed here.
Pages You Could Remove
Where the same content lives in two places, where one page sits at two points in the menu, and where one menu label leads somewhere different depending on which one a student clicks. Every row carries its addresses so the decision can be made here and carried out in the CMS.
Web Playbook
Your campus's single source of truth for website updates: preferred terminology, writing conventions, brand typography, and accessibility rules. Answer a question and every scan from then on checks pages against it.
Traffic And AI Analytics
Who is reading your pages, including the AI systems answering questions about your campus.
Daily Traffic
AI And Search Crawlers
By Page
Billing
Invoices and payment history in one place. BrAInWav invoices directly; pay by check, ACH, or purchase order as your campus prefers.
AI Assistant
A Claude assistant embedded in your admin, primed with this platform's architecture, for debugging ideas, redesign thinking, copy, and feature planning.
Admin
BrAInWav tools: scans, intelligence entries, embed codes, and client setup.
Weekly Progress Report
A summary of everything that moved in the last seven days, shown on the client dashboard and emailed Monday mornings when the Weekly Report notification is on.
Reported Problems
Clear Records
Start a section over. Findings, scans, and audit history are untouched. Clearing projects keeps the progress calculator; it only removes the project records and their milestones.
Reset Prospect Scan is the one to use on a scratch account you point at a different school each time. It empties the tracked addresses and every finding, report, job, and cached page behind them, so the next school starts from nothing. It keeps the account itself, its people, and its notification settings. Do not run it on a real client.
Clearing preview links keeps every page record, department, and project attachment. It only empties the preview link, which takes each page back out of client markup until you add the real Sitefinity draft.
What Clients See
Findings you have not released stay private to BrAInWav. Hide a whole category while you triage it, then release it when the client is ready to act. You always see everything.
Departments
The offices this institution uses. These drive every department menu, the access levels you assign to people, and how findings are grouped in reports.
People And Access
Roles decide what someone can do. Departments decide what they can see. Editors and viewers only see findings, pages, and regulations for their departments.
Client Modules (Sidebar Sections)
Turn portal sections on or off for this client. Dashboard and Admin are always on.
Email Notifications
Choose which emails this client receives. Approvals and review feedback always email you.
Add A Project
Add A Page To Track
Every address you are already scanning becomes its own page project, keeping the department it was filed under. Pages that already exist are skipped.
Leave this off in normal use. The scanned address is the live page, and filling the preview link marks a page as ready for client markup. Add the preview link yourself once the Sitefinity draft exists.
One page per line. Just a title works, or use: title | department | status | preview url
Add Or Edit A Component
Paste the component's full HTML and mark editable spots as {{tokens}}, for example {{heading}} or {{event_date}}. Each token automatically becomes a form field the client can edit.
AI Answer Report
Runs a fixed set of student questions for one department against three assistants, grades every answer against a crawl of that section, and emails a report. Same engine the public checker uses. Each run costs real money, so it is deliberately not on a schedule.
Compliance Rules
Checked without a language model, so a finding is either provably there or it is not. Wording rules catch what is out of date. Companion rules catch what is missing. These ship as a starting draft, not authority. Federal guidance moves; check the source on anything before you rely on it.
Add A Rule
tuition and fees|tuition & feesSingle Sign-On
Lets a college's staff sign in with their campus account through SAML 2.0. Password sign-in keeps working alongside it. Single sign-on can never create or reach a BrAInWav administrator account.
Widget Catalog Access
Catalog widgets are published from the library folder in the repo and shown to every college. A grant is what makes one usable, so an early adopter can have it at no cost while it stays paid for everyone else.
Colleges
Institution profile. Set what is known; anything left as Not Recorded is treated as unknown, and compliance rules that depend on it are held rather than guessed. It decides which regulatory obligations the platform will and will not assert for this college.
Content Scrub
Reads every page in the scan list with Claude and produces two things: internal observations for BrAInWav, and draft questions for the college. Nothing reaches the client until you approve and send it. This is the most credit-hungry scan, so scope it by department.
Question Queue
Student Questions For The AI Audit
One question per line, optionally followed by | department. These are the questions BrAInWav asks AI assistants each month, then grades the answers against this campus's pages.
Untick an assistant to leave it out. Answers from the ones you leave out are kept as they are, so re-running a single assistant costs one assistant rather than three. Claude also does the grading, so its API key is needed even when Claude itself is not being asked.
The department selector below governs both the switches and the run: leave it on All departments to ask everything, or choose one office to ask only its questions. Leave this on for a routine monthly run. Turn it off after changing how questions are asked or how answers are graded, or the questions already audited keep their old verdicts and the run looks like it did almost nothing.
Which Questions Run
Switched-off questions are skipped by the audit and keep their previous results. Run This One reruns a single question straight away, whatever the switches say.
Find Pages On A Site
Enter one top-level address. BrAInWav reads the site's sitemap and crawls the page for links, then lets you pick which pages to track.
Pages To Scan
One page per line: url | label | department
